Reserve A Space

Available Spaces

Forsyth County Public Library offers a variety of free spaces for public use to current Library cardholders:

  • Meeting Rooms - Large groups, occupancy varies by branch
  • Study Rooms - Up to 4 people, available at all branches
  • Large Study Room - Up to 8 people, available at Sharon Forks Library only
  • Conference Rooms - Up to 20 people, available at Sharon Forks Library only
  • Outdoor Amphitheater - Up to 100 people, available at Denmark Library only

Space Descriptions

  • The Library’s meeting rooms may be reserved up to a rolling 60 days in advance up to two (2) times per calendar month across all locations.

Example:

    • To reserve October 2 at 4:00 p.m., the room will be available for reservations on August 3 at 4:00 p.m.

If reserving over Daylight Saving Time or Standard Time changes:

    • To reserve April 27 at 7:00 p.m. (EDT), the room will be available for reservations on February 26 at 6:00 p.m. (EST).
    • To reserve December 15 at 4:30 p.m. (EST), the room will be available for reservations on October 16 at 5:30 p.m. (EDT).
  • Meeting Room reservation approval is not automatic. Please allow up to three (3) business days for approval.
  • Recurring meeting times are not guaranteed.
  • If you arrive more than 30 minutes late for your reservation, the room is subject to being released for use by others.
  • Suitable for individuals or a maximum of 4 people.
  • A large study room suitable for a maximum of 8 people is available at Sharon Forks Library.
  • Patrons may reserve a study room up to 72 hours in advance for a maximum of 2 hours per day across all locations.

Example:

    • To reserve April 8 at 3:00 p.m., the room will be available for reservations on April 5 at 3:00 p.m.

If reserving over Daylight Saving Time or Standard Time changes:

    • To reserve March 10 at 11:00 a.m. (EDT), the room will be available for reservations on March 7 at 10:00 a.m. (EST).
    • To reserve November 3 at 4:30 p.m. (EST), the room will be available for reservations on October 31 at 5:30 p.m. (EDT).
  • If you arrive more than 15 minutes late for your reservation, the room is subject to being released for use by others.
  • Full Conference Room suitable for a maximum of 20 people; half of the Conference Room is suitable for a maximum of 10 people.
  • The Library’s conference rooms may be reserved up to a rolling 60 days in advance up to eight (8) times per calendar month across all locations.

Example:

    • To reserve January 23 at 1:30 p.m., the room will be available for reservations on November 24 at 1:30 p.m.

If reserving over Daylight Saving Time or Standard Time changes:

    • To reserve March 31 at 2:30 p.m. (EDT), the room will be available for reservations on January 30 at 1:30 p.m. (EST).
    • To reserve December 15 at 4:30 p.m. (EST), the room will be available for reservations on October 16 at 5:30 p.m. (EDT).
  • Groups may request the use of conference room space up to eight (8) times per calendar month.
  • Conference Rooms are reserved for a maximum of 4 hours per day.
  • Conference Room reservation approval is not automatic. Please allow up to three (3) business days for approval.
  • Recurring meeting times are not guaranteed.
  • The conference room furniture is stationary, and the room cannot be reconfigured.
  • If you arrive more than 30 minutes late for your reservation, the room is subject to being released for use by others.  
  • The Library’s amphitheater may be reserved up to a rolling 60 days in advance up to two (2) times per calendar month across all locations.

Example:

    • To reserve August 5 at 10:30 a.m., the space will be available for reservations on June 6 at 10:30 a.m.

If reserving over Daylight Saving Time or Standard Time changes:

    • To reserve April 13 at 11:00 a.m. (EDT), the space will be available for reservations on February 12 at 10:00 a.m. (EST).
    • To reserve December 27 at 3:30 p.m. (EST), the space will be available for reservations on October 28 at 4:30 p.m. (EDT).
  • Outdoor Amphitheater reservation approval is not automatic and requires a phone-call confirmation from library staff. Please allow up to three (3) business days for approval.
  • Recurring meeting times are not guaranteed.
  • If you arrive more than 30 minutes late for your reservation, the space is subject to being released for use by others.
  • In the case of inclement weather, the library will attempt to relocate the reservation to an indoor space if available.
  • Due to the open nature of the outdoor amphitheater space, reserved events can be seen and heard by non-participants.

Reservation Policies and Procedures

The following actions may result in the restriction of future use of the library’s spaces:

To reserve a space, patrons must agree to the following:

Terms and Conditions 

  • Use of library spaces does not imply any endorsement of the individual or group's credentials, policies, or beliefs by the Library or Forsyth County. All promotional material must clearly indicate that the Library does not sponsor or endorse the event. Photos of the Library may not be used in any promotional materials.
  • The library has the right to preempt any scheduled Secondary Usage event for a Primary Purpose event. Meetings, including setup and breakdown, must occur during the library's open hours. Meetings must end, and attendees must exit the premises by the library’s posted closing time.
  • Staff reserves the right to enter the library spaces at any time.
  • The library reserves the right to terminate the meeting, event, or activity immediately and refuse future reservations if the attendees do not comply with library policies, procedures, and staff instructions.
  • Meeting and conference room reservations may be canceled up to 3 times per calendar month. At least 24 hours’ notice is required for each cancellation.

Reservation Requirements

  • The FCPL cardholder responsible for the reservation must check in with staff at the Ask Us Desk prior to using the space and must remain on the library premise for the entirety of the reservation. When the space is vacated, the cardholder must check out with staff at the Ask Us Desk.
  • The FCPL cardholder must act as the group contact and will be responsible for the group's activities and compliance with all library policies. The cardholder is responsible for the cost of replacing or repairing library property damaged due to misuse.
  • Room reservations are not transferable from one (1) group to another.
  • Meeting rooms may only be reserved by FCPL cardholders who are 18 years or older.
  • FCPL cardholders may reserve meeting room and amphitheater space up to two (2) times per calendar month across all FCPL locations. FCPL cardholders may reserve conference room space up to eight (8) times per calendar month across all FCPL locations.

Behavior Policies

  • The use of meeting or conference rooms shall not generate a level of noise, crowding, or other byproducts that, in the reasonable discretion of library management, disturb library patrons or disrupt the ability of the library to conduct its business in a regular and orderly manner. Any use of amplified sound must be limited to a volume that cannot be heard outside the space.
  • Amplified sound is not permitted in the Amphitheater.
  • All attendees must comply with the Patron Behavior Policy and the Outdoor Spaces Policy.
  • Attendance must not exceed the posted capacity of the spaces.
  • There must be one adult physically present for every ten children present.
  • All groups must enter and exit through the library's main entrance, except in emergencies or when approved by the library.
  • Furniture may not be moved in or out of meeting or conference rooms.
  • Nothing may be attached to the walls, ceilings, doors, or furniture.
  • No person or entity using library space shall place, mount, or affix signage or other materials in any location at the library except in the reserved meeting location during the reserved meeting time.
  • Storage of supplies or equipment belonging to room users is not permitted.

Food and Beverage Guidelines

  • Open flame, burning incense, and lit candles are not allowed.
  • Alcoholic beverages are not allowed.
  • Refreshments must be approved in advance.
  • Forsyth County Public Library is a tobacco-free and smoke-free facility. E-cigarettes are also prohibited.
